Client intake

Ask for it securely.

Send a client a link that expires on your schedule. Credentials and documents they send back are encrypted before they land, opened only when you ask for them, and never sit in anyone's inbox.

Secure Intake is limited to Ability Ops admins

It hands a client an expiring link they can use to send us API keys, logins and documents without putting any of it in an email. What comes back is encrypted with a key only this tool can use, and is visible only to whoever created the link. If you need something collected from a client, ask an Ability Ops admin in Slack and they'll send the link.

Collect something from a client

Only you see this. It labels the submission in your inbox; the client never sees it.

Recorded for your own reference. Anyone with the link can use it — this doesn't restrict who.

Seven days is the maximum. Shorter is better — the link stops working on its own, whether or not anyone remembers to revoke it.

More than once is useful when a client sends the keys now and the spreadsheet tomorrow.

Treat this like a password. Anyone who has it can send you a submission until it expires. You can copy it again from the Links tab while it is live — but it is never stored in a form anyone can read out of the database, and it disappears for good the moment you revoke.

Working hours drive the Schedule calendar — the shaded band on your row is built from exactly these values.

Admin controls

These change what this person can do and where they appear. Only admins see this tab.

Locked — you can’t change your own role. Ask another super admin.

This one column draws the whole org chart. A loop is refused by the database, so you can’t accidentally make two people each other’s manager.

Comma-separated, up to 12. A cross-cutting filter — this never moves anyone on the chart.

Adds them to the owner picker on expansion opportunities. Grants no extra access on its own.

Nightly, from this person’s cloud recordings. Internal calls — everyone on the call at abilityops.com or monday.com — are skipped and never sent to Claude.

Recorded at invite time. Read-only.

Account

Administrative actions on this account.

Reset multi-factor authentication. For someone who has lost their phone. They keep their password; the next time they sign in they scan a new QR code. Their old authenticator entry stops working.
Re-enable this account. This account is currently disabled. Re-enabling restores portal access immediately — the user signs in with their existing password and authenticator.
Disable this account. The user will be logged out and unable to access the portal until an admin re-enables them. Nothing is deleted.
